Our Process
From Your Free Estimate to Your Finished Outdoor Project
A SIMPLE, TRANSPARENT PROCESS FOR DECK & FENCE PROJECTS
Building a new deck or fence should be straightforward from start to finish. At Cactus Decks & Fences, we keep you informed through every stage of your project—from your initial estimate and design selections to scheduling, construction, and final completion. With your Client Portal, project details, documents, payments, scheduling updates, and communication are all kept in one convenient place.
Our Process: Step-by-step
From your first inquiry through project completion, we’ve designed our process to be organized, transparent, and easy to follow. Your personalized Client Portal keeps your estimate, proposal, selections, schedule, documents, payments, and project information together in one convenient place.
1. Reach Out & Request an Estimate
Getting started is easy. Submit an estimate request through our website, give us a call, send us an email, or reach out by text. We’ll gather some initial information about your project and help determine the next step.
2. Your Client Portal Is Created
Once your information is entered into our system, we’ll create your personalized Client Portal. This becomes your central location for important information and documents throughout the estimating and construction process.
3. Your Estimate Appointment & Project Details Are Added
Your scheduled estimate and available project details will appear directly in your Client Portal, giving you an easy place to reference your appointment and project information.
4. Your Project Manager Heads Your Way
On the day of your on-site estimate, your Project Manager will reach out when they are en route to your property. During the appointment, they’ll discuss your project, take measurements, evaluate the site, and review available materials, colors, features, and options with you.
5. Receive Your Detailed Proposal
Following your on-site estimate, you’ll receive a detailed proposal electronically.
Our proposals are interactive and customizable. Available materials, colors, upgrades, and project options discussed during your appointment are clearly presented and selectable, allowing you to carefully review your choices and build the project that best fits your home, preferences, and budget.
We encourage you to review each section carefully before accepting your proposal.
6. Accept Your Proposal & Pay Your Deposit
Ready to move forward? Your proposal can be electronically signed, and your required project deposit can be securely paid online through your Client Portal. Online payments are processed through Stripe.
Once your signed proposal and deposit are received, your project officially moves into our production schedule.
7. Follow Your Project Schedule
Your anticipated project date is available directly within your Client Portal. As scheduling is updated, you’ll be able to see the most current project information in one convenient location.
Because exterior construction can be affected by weather, inspections, material availability, and other circumstances outside of our control, schedules may occasionally change. Your portal helps keep you informed with the most up-to-date scheduling information available.
8. Permits, Drawings & Project Documents
When applicable, permit information, drawings, plans, approvals, and other relevant project documents are uploaded to your Client Portal so important paperwork remains organized and accessible throughout your project.
9. Construction & Project Completion
When it’s time to build, our team brings your project to life. Throughout construction, your Project Manager and our team oversee the details of your project through completion.
Once construction is complete, we’ll perform our final project procedures and close out the construction portion of your job
10. Final Documentation
For qualifying New York State capital improvement projects, the required Certificate of Capital Improvement will be sent electronically to the client for completion and signature.
Once completed, the document is maintained with your project records so your important paperwork remains organized and accessible.
